Which of those two shapes you need is the real decision, and most of this page is about helping you make it honestly.

What Freshdesk costs and who it suits

Credit where due: Freshdesk is a mature, well-built helpdesk with ticketing, a customer portal, a knowledge base, SLA policies, routing and reporting, and for a support department with a manager who reads dashboards it remains a sensible choice. The question for a small team is whether you are that department.

Pricing, verified from freshworks.com/freshdesk/pricing on 23 September 2026: Growth at $19/agent/month, Pro at $55/agent/month and Enterprise at $89/agent/month, each quoted billed annually. The page shows a "Save 20% annually" toggle, but the monthly-billing figures did not render in our fetch, so treat monthly as roughly a fifth higher and confirm on the page. Pro adds multilingual support, custom dashboards, intelligent routing and multiple SLA policies; Enterprise adds skill-based routing, sandbox, audit logs and IP whitelisting. New sign-ups get 14 days of Enterprise as a trial.

The AI is where the bill grows. Every plan includes Freddy AI Agent with the first 500 sessions bundled and extra sessions at $49 per 100. Freddy AI Copilot, the agent-facing assistant that drafts responses, summarises threads, reads sentiment and translates, is a separate $29/agent/month add-on billed annually, available on Pro and Enterprise only. Freddy AI Insights is Enterprise-only. Day passes for occasional agents run $2 to $12 depending on tier, connector app tasks cost $80 per 5,000, and MCP actions $15 per 1,000 (all from the same page, same date).

On the free plan: the pricing page no longer lists one. A separate page at freshworks.com/freshdesk/free-helpdesk-software (retrieved 23 September 2026) advertises a "Freshdesk Free Program" at $0 for 1 to 2 agents for 6 months, no credit card. That is a time-boxed offer, not the permanent free tier Freshdesk used to be known for, and it is one reason small teams go looking for Freshdesk alternatives.

Put together for a three-person team on Pro with Copilot: $55 plus $29, times three, is $252/month billed annually, before any AI Agent sessions beyond the bundled 500. That is the number to beat, and it is worth being clear that in Freshdesk's model humans still answer every ticket. The software organises the queue; Copilot helps you type faster.

1. InReply: best if you want customer email answered, not ticketed

Let us be explicit first: InReply is not a helpdesk. It has no ticket numbers, no SLA timers, no reporting dashboards, no live chat, phone or WhatsApp. If you need those, pick from the six tools below. InReply is for the team whose real problem is that customer email keeps asking the same things, and someone has to type the answer every time.

It connects to your existing Gmail, Google Workspace, Outlook or Microsoft 365 inbox via OAuth (no new client, no migration, revoke any time), classifies what arrives, and writes replies grounded only in the knowledge you upload: FAQs, PDFs, CSVs, documents or a linked website, organised into playbooks. A playbook is a scoped response brain with its own knowledge, tone and constraints, so bookings can be handled one way and pricing questions another. Sending is graduated. Ghost Mode, on every plan, saves each reply as a draft in Gmail or Outlook for a person to review. Autopilot, switched on per playbook, sends automatically with human-like delays, business-hours awareness and a confidence threshold. 2. Help Scout: best helpdesk for small teams, with a real free plan

Help Scout is the natural first stop for a small team leaving Freshdesk: shared inboxes, a Docs knowledge base, live chat, and a house style that keeps support feeling human rather than ticketed. It is its own platform, so you connect any email provider and work inside Help Scout.

Pricing, verified from helpscout.com/pricing on 23 September 2026: a permanent Free plan with 5 users, 1 inbox and 1 Docs site, limited to 100 contacts a month. Then Standard at $25/user/month, Plus at $45/user/month and Pro at $75/user/month (Pro has a 10-user minimum), quoted monthly with a 16% discount on annual billing. Extra inboxes are $10/month and extra Docs sites $20/month. AI Answers, the customer-facing resolution product, is priced at $0.75 per resolution with a 3-month free trial for new accounts. There is a 15-day trial, no credit card.

Honest trade-off: the free tier's 100 contacts a month is a low ceiling for anything beyond a side project, and paid costs scale on two axes (seats and AI resolutions). Best for: small teams that want Freshdesk-style workflow with a gentler personality and a free on-ramp, and are happy for humans to write most replies.

3. Zoho Desk: best value per seat if you want the full helpdesk

Zoho Desk is the closest like-for-like Freshdesk swap on price: tickets, SLAs, workflows, a help centre, multi-department support, and Zia AI on the higher tiers, at a fraction of the per-agent cost. If you are already in the Zoho ecosystem (CRM, Books), it fits naturally.

Zia AI capabilities are listed from Professional upwards, and there is a 15-day trial with no credit card. One note: the pricing page localises by region, and from India it renders Professional at ₹1,400 and Enterprise at ₹2,400 per user/month billed annually, so check the currency selector on the page before budgeting.

Honest trade-off: the interface is dense and the useful AI sits two tiers up from Express, so the headline price is not the AI price. Best for: teams that genuinely want everything Freshdesk does, cheaper, and do not mind a Zoho-flavoured UI.

4. Hiver: best for staying inside Gmail

If your team lives in Google Workspace and the thing you dislike about Freshdesk is the separate portal, Hiver puts assignments, statuses, shared inboxes, SLAs and analytics directly into Gmail. It has been repositioning towards an AI customer service platform, so the feature set is broader than a shared inbox now, and its separate Hiver Omni product connects Outlook and Microsoft 365 as well as Gmail (hiverhq.com, retrieved 23 September 2026).

Pricing, verified from hiverhq.com/pricing on 23 September 2026: Growth at $25/user/month billed annually ($35 monthly), Pro at $55/user/month ($65 monthly) and Elite at $85/user/month ($95 monthly), with AI Agents and AI Copilot included on all plans and a Voice add-on at $30 per voice seat. "All Hiver plans start at 2 seats", scaling to 5 and then in fives. There is a 7-day trial of Elite with no credit card. Honest trade-off: the 2-seat minimum means the real entry price is $50/month, and the in-inbox experience that made Hiver's name is Gmail-only; Outlook teams get Hiver Omni, a standalone workspace, rather than helpdesk features inside Outlook. 5. Front: best for ops-heavy teams that will outgrow Freshdesk

Front is a collaborative customer communication platform: shared inboxes, ticketing, automation rules, analytics and a serious integrations catalogue. It is aimed at logistics, finance and agency teams with heavy email volume, and it marks the upper boundary of "small team tool" on this list.

Pricing, verified from front.com/pricing on 23 September 2026: Starter at $25/seat/month billed annually (up to 10 seats), Professional at $65/seat/month (up to 50 seats, omnichannel) and Enterprise at $105/seat/month with AI Copilot, Smart QA and Smart CSAT included. On lower tiers the AI is sold as add-ons: Copilot $20/seat/month, Smart QA $20/seat/month, Smart CSAT $10/seat/month (or $25 bundled), and Autopilot from $0.05 per conversation. Annual billing is noted as a 24% saving, and there is a 14-day trial of Professional with no credit card.

Honest trade-off: getting Front's AI onto a Starter seat means stacking add-ons until a $25 seat is a $45 seat, and the platform's depth is wasted on a three-person inbox. Best for: teams of ten or more who are leaving Freshdesk because they need more, not less.

6. Missive: best shared inbox without ticket bureaucracy

Missive is a team email client: shared inboxes, internal comments, assignments and rules across email, SMS and social accounts, with none of the ticket-number ceremony. If what you want from a Freshdesk alternative is simply to stop colliding on the same threads, it is the cleanest and cheapest way to do it.

Honest trade-off: it is a client switch (your team works in Missive, not Gmail or Outlook), and humans still write and send every reply. 7. Gorgias: best for e-commerce stores

Gorgias is a helpdesk and AI agent built for online stores, with deep Shopify, order and refund context in every conversation. For a non-retail team it is the wrong tool; for a store it is usually on the shortlist, and it is the other entry here that is not priced per seat.

What the vendor's own pages do state in plain text: the helpdesk "scales from 50 to 5,000 tickets a month, never priced per agent" (gorgias.com/pricing); AI Agent is priced at $0.90 per resolved conversation on annual billing or $1.00 on monthly billing, with Starter plans from $1.00, and plans cover 90 to 2,500+ AI-resolved conversations a month (gorgias.com/llm-info); and a billing help article gives the worked example of "300 tickets for $60/month + $0.40 per extra ticket" (docs.gorgias.com, how-you're-billed article). Honest trade-off: everything is tuned for commerce, so a services business gets little from the integrations it is paying for, and ticket-volume pricing means a busy month costs more. Best for: Shopify and similar stores that want order-aware support and are happy to pay per ticket and per AI resolution.

How to choose: three questions

  • Would anyone read the reports? SLA compliance, first-response time, CSAT: if a manager reviews them, you need a helpdesk, and Help Scout, Zoho Desk or Front are your candidates. If nobody would open the dashboard, you are paying for machinery you will not use.
  • Is the bottleneck coordination or composition? People treading on each other's threads is a coordination problem, and Missive or Hiver fix it. The same twenty questions arriving every day is a composition problem, and a helpdesk does not fix it; it just files it. That is the case for InReply.
  • How does the price scale? Freshdesk, Help Scout, Zoho Desk, Hiver, Front and Missive all charge per seat, so headcount raises the bill, and AI is usually extra on top. Gorgias charges per ticket. The underlying question is the one the whole category is circling: do you want better machinery for humans answering email, or less email that needs a human?
